Privacy policy for Otticos
Last updated March 13, 2026. This policy covers how Otticos handles user, property, rent, communication, calling, application, and document data.

Information we collect
Otticos collects the information needed to run rent and property workflows, including account details, organization membership, property records, lease data, payment records, payout records, maintenance requests, messages, public vacancy listings, rental applications, public investor financing inquiries, and uploaded documents.
We also collect technical and security information such as IP-based abuse signals, device or browser details, session and cookie data, and activity logs used to keep the service working and investigate fraud or misuse.
Payment card and bank-account entry is handled by Stripe-hosted or Stripe-managed flows. Otticos receives transaction, payout, and account-status metadata needed to reconcile payments and support landlord payouts, but we do not present this site as a place to submit full card or bank credentials directly into Otticos forms.
How information reaches Otticos
Information can come directly from users, from workspace owners and managers who configure their portfolio, from public rental applicants or investor financing inquirers, and from integrated providers that help authenticate users, process payments, deliver messages, host video rooms, or monitor service reliability.
If a landlord, property team, or investment-property operator publishes a public intake form, information submitted through that form is visible to the organization operating the workflow so it can review and respond.

How we use information
We use personal information to authenticate users, show the correct workspace data, maintain ledgers, process and reconcile payments, review rental applications or investor financing leads, support landlord, manager, resident, and payment-helper workflows, deliver transactional communications, and protect the platform from abuse or unauthorized access.
We may also use information to troubleshoot service issues, detect spam or fraud, comply with legal obligations, enforce our terms, and improve the reliability of Otticos features.
Cookies, sessions, and similar technologies
Otticos uses cookies and similar storage mainly for sign-in state, session continuity, security, and basic product preferences. If those cookies are blocked, some parts of the product may not function correctly.
Otticos is not currently configured for cross-site behavioral advertising on the public site, and we do not describe the service as selling or sharing personal information for targeted advertising.
Service providers and disclosures
Depending on the features enabled, Otticos may use providers such as Supabase, Vercel, Stripe, LiveKit, Resend, and Sentry to host data, authenticate users, process payments, deliver communications, provide calling infrastructure, or monitor system health.
We may disclose information to the workspace operating the relevant property, to service providers acting on our behalf, to comply with law or valid legal process, to investigate security incidents, or as part of a merger, financing, or asset transfer.
- Workspace operators can view data their organization collects and manages in Otticos.
- Landlords, property teams, or investment-property operators can review information submitted through their public intake workflows.
- Third-party providers receive only the information reasonably needed for the feature they power.
Retention and security
Operational and financial records may be retained for compliance, dispute handling, fraud review, payout support, auditability, and other legitimate business needs. Deletion requests may therefore be limited by legal, accounting, payment, and housing-record retention requirements.
Access is scoped through role-based permissions, and security-sensitive actions should remain attributable to a user and timestamp. No internet-facing service can promise perfect security, so users should avoid sharing unnecessary sensitive information through freeform fields.
Your choices and privacy rights
Account owners control most organization-level data. Individual users can request support, access corrections, export review, or deletion review by contacting us, subject to verification and any legal or operational retention constraints.
Residents of some states may have additional rights to know, access, correct, delete, or appeal the handling of their personal information. We will evaluate requests in light of the laws that apply to the requester and the records involved. Children and sensitive submissions
Otticos is not directed to children under 13, and we do not intend the product as a consumer service for children.
Do not submit Social Security numbers, full bank-account numbers, or payment card numbers through freeform support or rental-application fields unless a clearly designated secure workflow specifically asks for them.
Changes to this policy
We may update this policy as Otticos evolves, new providers are enabled, or legal requirements change. When we do, we will update the date on this page and may provide additional notice when the change is material.
